3. Scope of this Policy
This Policy explains how we process personal data collected through URBANIS’s Urbanis Imóveis website (https://imoveis.urbanispt.pt/) (the "website"). It does not cover data received from consultants, agents or partners outside the website, nor processing carried out by third-party websites that may be linked from this site.
4. What data we process
None of this website's forms send data directly to an Urbanis server: each form builds a pre-filled WhatsApp message or email, which is only sent if you choose to open and send it (see section 8). From that point on, the data is also processed by WhatsApp (Meta) or by your email provider.
Depending on the form you use, we may process:
- first name and surname
- email address and telephone number
- message, subject and selected department or area
- location or address you voluntarily provide
- parameters associated with the source of your enquiry (UTM)
- the date, time and time zone of submission
- technical data normally transmitted when connecting to a website, including your IP address and basic browser or device information
- if you consent under the "Analytics" category, data about how you use the website (for example, pages visited, clicks, scrolling and mouse movements, visit duration and source, cookie identifiers and approximate location)
We do not request identity documents, immigration data or special categories of personal data through these forms.
5. What we use your data for and on what basis
We use your personal data to:
- respond to your messages and enquiries, and take any pre-contractual steps you request, based on our legitimate interest in managing the enquiries we receive and, where applicable, on the fact that those steps were requested by you
- provide and coordinate the services you request, based on pre-contractual steps or on the performance of a contract, as applicable
- keep this website secure and prevent misuse, based on our legitimate interest
- analyse, on a statistical basis, how the website is used and improve its operation and content, through Google Analytics 4 and Microsoft Clarity, based on your consent
- comply with legal obligations to which we are subject
- send you information about other URBANIS projects and properties, by telephone, SMS, WhatsApp or email, based on your consent (optional, which you may withdraw at any time)
6. Do you have to provide your data?
No. However, fields marked as mandatory on the forms are necessary for us to receive and process your request; if you do not provide them, we may be unable to respond to you or provide the requested service.
7. Cookies, localStorage, analytics
We use localStorage to store, on your own device, your consent choice and, where applicable, a temporary contact-form draft that is not sent to us unless you submit the form. Details of each technology, its purpose and duration are set out in our Cookie Policy.
If you consent under the "Analytics" category, we load Google Analytics 4 and Microsoft Clarity, which help us understand how the website is used. Microsoft Clarity records how you interact with the pages (for example, clicks, scrolling and mouse movements) to produce heatmaps and session replays; Microsoft Clarity is configured not to collect the content entered into form fields. Without your consent, none of these tools is loaded. You may change or withdraw your consent at any time, with effect for the future, through the cookie settings available on the website.
This page does not use Google reCAPTCHA.
Details specific to this page
In addition to what section 7 already describes, none of these technologies uses advertising cookies. Before you make any choice, nothing is loaded: no cookies, no local storage, no requests to third parties. Your cookie choice (Necessary, Security, Analytics and Marketing) is kept only in your own browser (localStorage): a random identifier, the date, the options you chose and the version of this notice, without your name or your IP address, for 12 months; there is no copy of this record on an Urbanis server. You can change that choice at any time under "Manage cookies", in the footer. If you save properties to your list (heart icon, "My list"), that list is also kept only in your browser, with no set time limit, until you delete it or clear the site's data. If you start filling in the Contact or Sell form and leave without sending it, what you wrote is kept in your browser for 24 hours and is deleted as soon as you send the message; your cookie choice is never kept in this draft.
Only after you accept the "Analytics" category do we load Google Analytics 4 (Google Ireland Limited), which counts visits and shows where they come from and which parts of the site are viewed most, and Microsoft Clarity (Microsoft Ireland Operations Limited), which produces heatmaps and browsing recordings (clicks and scrolling) without recording what you type in forms. These tools process pseudonymous online identifiers, device and browser data and approximate location; we do not use them for advertising. Microsoft also processes Clarity data as an independent controller, including to provide Microsoft Advertising (see the Microsoft Privacy Statement). How Google uses this data: policies.google.com/technologies/partner-sites. Cookies: _ga and _ga_* (Google, up to 2 years), _clck (1 year) and _clsk (1 day). You can withdraw this permission at any time under "Manage cookies"; we then delete this site's statistics cookies. This site does not use Hotjar or Google reCAPTCHA.
Like any website, the hosting provider (Vercel) logs technical request data, including the IP address, for a short period, for security and operation (legitimate interest).
8. Who can access your data
Your data may be accessed by duly authorised URBANIS staff, in the performance of their duties.
We use service providers that may process personal data on our behalf and in accordance with our instructions, under agreements that include, where applicable, the terms required by Article 28 GDPR, namely: Google Ireland Limited, which provides the email service (Google Workspace) for geral@urbanispt.com; and Vercel Inc., which provides website hosting, deployment and technical infrastructure.
If you consent under the "Analytics" category (section 7), browsing data is also processed by Google Ireland Limited (Google Analytics 4) and Microsoft Ireland Operations Limited (Microsoft Clarity).
9. International transfers
Google and Microsoft belong to groups headquartered in the United States, so data processed through their services (section 8) may be transferred to, or accessed from, the US. These transfers are based on the European Commission’s adequacy decision on the EU-US Data Privacy Framework, under which Google LLC and Microsoft Corporation are certified, and, where applicable, on standard contractual clauses approved by the European Commission. Where other providers referred to in section 8 process personal data outside the European Economic Area, we will apply the transfer mechanism required by the GDPR for the country and recipient concerned, namely a European Commission adequacy decision or appropriate safeguards under Article 46 GDPR, such as standard contractual clauses approved by the European Commission. You may request information about the applicable transfer mechanism and safeguards at geral@urbanispt.com.
10. How long we keep your data
The forms on this website do not save your data to an Urbanis server: each form builds a pre-filled WhatsApp message or email, which is only sent if you choose to open and send it. We do not set a retention period here for that content, because we do not store it; it is the WhatsApp conversation or the email, and your own copy, that are kept, under the terms of those platforms. If that contact leads to a relationship with us through another Urbanis system, the legal and contractual periods applicable to that relationship apply, which may exceed two years.
Analytics data is retained in Google Analytics for up to 14 months and in Microsoft Clarity for up to 9 months. Data used for session replays is generally retained for 30 days, although marked replays may be retained for up to 9 months.
Preferences stored in your browser follow the periods set out in our Cookie Policy.
11. Security
We adopt reasonable and appropriate technical and organisational measures to protect personal data against unauthorised access, unlawful use, loss, alteration or destruction. However, no website or transmission method can guarantee absolute security.
12. Your rights
You may request access to your personal data, its rectification or erasure, restriction of processing, data portability and objection to certain processing. Where processing is based on consent, you may withdraw it at any time, without affecting the lawfulness of processing already carried out.
The exercise of these rights may be subject to the limits and conditions provided by law. You may exercise them by writing to geral@urbanispt.com; we may ask you for additional information to confirm your identity.
13. Complaints
If you believe your personal data has not been handled properly, you may lodge a complaint with the Portuguese Data Protection Authority (CNPD), without prejudice to any other administrative or judicial remedy.
14. Images and content
The main image on the homepage and the featured images on the three highlighted property cards are generated with artificial intelligence and are for illustration only; they do not represent any real property and are not photographs (Regulation (EU) 2024/1689, art. 50). The other property cards and galleries show a "Photography coming soon" notice instead of any image, until real photography is available. The rest of this website's text and content belongs to Urbanis and is protected by copyright; it may not be reproduced without permission.
15. Accessibility
We aim to meet the WCAG 2.1 guidelines (level AA): keyboard navigation, visible focus, text alternatives for images and sufficient contrast. Our accessibility statement describes what we have already checked. If you find a barrier, please tell us at geral@urbanispt.com.
16. Changes
We may update this policy; the date at the top shows the version in force.
